How to Set Up Online Registration

Online registration allows participants to register and pay for your event online. Most races can be fully configured in just a few minutes.

Before you begin: Make sure your race information, date, and event details have already been entered into FlexTiming.

Step 1: Open Online Registration Settings

From your Race Director Dashboard, click Edit Online Registration.

This is where you will configure everything participants see when they register.


Step 2: Add Your Events

Start by creating the events participants can register for.

Examples:

  • 5K Run
  • 10K Run
  • 2-Mile Walk
  • Kids Fun Run

For each event, enter:

  • Event Name
  • Registration Fee
  • Start Time
  • Registration Open Date
  • Registration Close Date

If your race only has one event, simply create one event and continue.


Step 3: Set Your Registration Price

Enter the normal registration fee for each event.

Example:

  • 5K Run - $30
  • 10K Run - $40
  • Kids Dash - Free

This is the price participants will pay unless a discount is applied.


Step 4: Add Early Registration Discounts (Optional)

If you want to encourage people to register early, create an Early Bird discount.

Example:

  • $30 registration fee
  • $5 Early Bird discount
  • Participants pay $25 before the discount expires

You can also create coupon codes for sponsors, volunteers, clubs, or special promotions.


Step 5: Add Shirts (Optional)

If participants receive a shirt, enable shirts for the event.

Add the sizes you want to offer, such as:

  • Youth Small
  • Youth Medium
  • Adult Small
  • Adult Medium
  • Adult Large
  • Adult XL

You may also set a shirt deadline. After that date, participants can continue registering but may no longer be guaranteed a shirt.


Step 6: Add Extra Items (Optional)

You can offer additional items during registration.

Examples:

  • Extra Race Shirt
  • Hoodie
  • Meal Ticket
  • Donation

Participants can add these items during checkout.


Step 7: Ask Additional Questions (Optional)

If you need extra information from participants, create custom questions.

Common examples include:

  • Emergency Contact Name
  • Emergency Contact Phone Number
  • School Name
  • Team Name
  • Club Affiliation

Only ask for information you truly need.


Step 8: Review Your Waiver

Participants must agree to a waiver before completing registration.

Review the waiver and make any changes needed for your event.

If you have legal questions regarding waiver language, consult an attorney.


Step 9: Save Your Changes

Click Save Changes before leaving the page.

If you make changes and leave without saving, those changes may be lost.

Step 10: Test Your Registration

Before sharing registration with participants, test it yourself.

  • Open your race page
  • Click Register Online
  • Walk through the registration process
  • Verify pricing, shirts, and questions are correct

Testing helps prevent participant confusion and support requests later.


Ready to Go!

Once registration is open, participants can register directly from your race page by clicking Register Online.
