Applying Online Registration Payments to Invoice
FlexTiming.Pro Registration and Invoice Process
We're proud to offer a world-class, locally designed online registration system that supports the fitness community in our region. This guide will explain how our updated registration and invoicing process works.
Old System Overview
Previously, our system worked as follows:
- Fees and Donations: Our online registration system collected registration fees and donations. For example, if the entry fee was $15, participants were charged $17.25. The additional $2.25 covered administrative costs.
- Fee Collection: We collected registration fees and typically issued a check for these fees 1-2 days after the event. Checks could also be issued upon request.
New System Overview
With the recent updates to our system, here’s how the process now works:
-
Invoice Breakdown:
- Fee Collection: We continue to collect the online registration fee on your behalf.
- Post-Race Invoice: After the event, you will receive an invoice via email detailing the breakdown of collected fees and the total amount owed.
- Costs: The invoice will show how the collected fees were applied to cover event costs, such as shirt expenses. In some cases, the total amount owed may exceed the registration fees collected. If the fees collected exceed the costs, we write you a check!
-
Check Issuance:
- Previous Practice: Unlike the old system where we issued a check for the entry fees, the new system does not include automatic profit checks.
We understand that transitioning to a new system can be confusing. We’re here to help clarify any details and answer any questions you may have.
